How to Track WhatsApp Orders So None Get Lost in the Chat

Selling on WhatsApp is easy to start. You post a product, a customer replies, you agree a price. That is a sale.

Then the trouble begins. You have 14 chats open. One customer wanted size 42, not 43. Another has paid but you forgot to ask for an address. A third says, "Where is my order?" and you cannot find the chat from last week.

This is not a sign you are bad at business. It is a sign that the chat is doing a job it was not made for. A chat is good for talking. It is poor as a record.

Here is a simple system that fixes this in one afternoon, and costs nothing.

Step 1: One sheet for every order

Open a free spreadsheet (Google Sheets or Excel) and make these columns. Every order, from every customer, gets one row.

Column What to write
Order no. 001, 002, 003... a new number every time
Date The day the customer agreed to buy
Customer name As they gave it
Phone The number to call the rider with
Item and details Product, size, colour, quantity
Price Item price
Delivery fee Agreed delivery cost
Total Price plus delivery
Payment status Not paid, Part paid, Paid
Amount received What is truly in your bank app
Delivery address Full address, with a landmark
Delivery status To pack, Sent, Delivered, Failed
Notes "Call before coming", "Gift wrap"

Two small rules make this sheet powerful:

  • Write the order the moment the customer agrees, not at the end of the day.
  • Only change "Payment status" to Paid when the money is in your own bank app. A screenshot is not enough. See How to Confirm a Bank Transfer Is Real.

Step 2: Use labels inside WhatsApp Business

If you use the free WhatsApp Business app, you can put coloured labels on chats. This lets you see the stage of every customer without opening the sheet.

A simple set that works for most sellers:

  • New enquiry
  • Order agreed, waiting for payment
  • Paid, to pack
  • Sent
  • Delivered
  • Problem

When a customer moves forward, change the label. At the end of the day, open the "Paid, to pack" label and you have your packing list.

If you still use a personal WhatsApp number, think about moving to the Business app. It also lets you keep your business and private chats apart. We write about this in WhatsApp Marketing for Nigerian Small Businesses.

Step 3: Send a confirmation message for every order

This single habit removes most mistakes. When the order is agreed, send the customer a summary and ask them to confirm. You can copy this:

Order 014 Item: Black sneakers, size 42 × 1 Price: ₦[amount] | Delivery: ₦[amount] | Total: ₦[amount] Delivery to: [full address and landmark] Phone for rider: [number] Please reply YES if everything is correct. I will pack as soon as payment shows in my account.

Now the details are in writing, in the customer's own chat. If there is a disagreement later, you both can scroll up. It also saves you from the "I wanted the other colour" argument.

Step 4: A daily five-minute routine

Do this at the same time every day:

  1. Open the sheet. Filter for Paid + To pack and pack those orders first.
  2. Filter for Not paid that are older than a day. Send one polite reminder.
  3. Filter for Sent and message the customers to expect the rider.
  4. Filter for Delivered and mark them. Ask for a short review from happy customers.
  5. Look at Problem orders and decide what to do today.

At the end of the week, add up the "Amount received" column. That is your real sales figure, not what people said they would pay.

What this system will not do

Be honest about the limits.

  • It will not confirm payments for you.
  • It will not reduce your stock when you sell something. You must keep a stock count yourself.
  • It will not tell customers automatically when the order moves.
  • It becomes slow when several people write in the sheet at once.
  • It does not give the customer a tracking link or a basket they can fill themselves.

For a small number of orders each day, this is fine. For more, you need something else.

Signs it is time to move to a proper store

Think about a real online store when you see two or more of these:

  • You are handling more orders than you can write down on a busy day.
  • You sell many products or sizes and often sell something you no longer have.
  • You have staff who answer chats, and orders get duplicated or missed.
  • Customers keep asking "has my payment gone through?"
  • You want customers to pay online and have the order marked paid without you.
  • You want to run discount codes or give customers a delivery fee by state.

A store handles all of that. The customer picks the product, enters their address, pays through a gateway, and you see a clean order list. Our e-commerce solution does this with your own payment gateway account. Many sellers keep WhatsApp as the place to chat, and use the store as the place to order and pay.

If you are not sure you are ready, read How to Sell Products Online Without a Physical Shop, or tell us how many orders you take and we will tell you honestly if a sheet is still enough.

A common mistake: no one owns the sheet

If you have a helper, decide who writes in the sheet and who only reads it. Two people editing the same row at the same time will make a mess. One person enters orders, the other packs and marks "Sent".
