How to Write a Refund and Return Policy for a Small Nigerian Online Shop

Many Nigerian sellers put "No refund after payment" at the bottom of their page and think they are protected.

In practice, it often does the opposite. New customers read it and think, "What if they send me the wrong thing?" Some leave. Others buy, then argue loudly when something goes wrong.

A clear and fair policy does two jobs. It makes first-time buyers feel safe. And it gives you a calm answer when a problem comes, instead of a fight.

This is not legal advice. But it will help you write a policy that is simple, honest and easy to follow.

First, understand what customers worry about

Think about what you would ask before paying a stranger online:

  • What if it is not what I ordered?
  • What if it arrives broken?
  • What if it does not fit?
  • Who pays for returning it?
  • How long until I get my money back?

Answer these questions in your policy, in short sentences. If you do, many customers will not even need to ask.

What a good policy contains

1. A time limit

Say how many days the customer has to ask for a return or refund, and when the clock starts. Example: "within 3 days of delivery". Choose a time that suits your products. Fashion may allow more days than perishable food.

2. The condition of the item

Say what state the item must be in: unused, in original packaging, with tags. Be specific so no one is surprised.

3. What you will not take back

List items that cannot be returned and say why. This might include food, underwear, custom-made items, opened beauty products, digital downloads, or items on final sale. Put this list near the top, not hidden at the end.

4. What happens if the item is wrong or damaged

This is the most important part. Say that if you sent the wrong item, or it arrived damaged or faulty, you will fix it, and you pay for the return. This is fair, and it builds trust.

Ask for proof: a clear photo or a short video of the item and the packaging, sent within a short time of delivery. A video of the opening of the parcel is the best proof for both sides.

5. What happens if the customer just changed their mind

Decide your rule. Some shops accept returns if the item is unused, and the customer pays the return delivery. Others offer only exchange or store credit. Pick one, and say it plainly.

6. How and when you pay the refund

Say how the money returns (to the same account or card, or as store credit) and how many working days it takes after you receive the item and check it. Do not promise "instant refunds" if you cannot do it.

7. How to ask for a return

Give one clear way: a WhatsApp number, an email or a form. Say what to send: order number, photos, and a short reason.

8. Delivery costs

Say who pays for delivery to the customer when an order is cancelled, and who pays for return delivery in each case.

Returns and refunds

We want you to be happy with your order. If something is wrong, please tell us.

Wrong, damaged or faulty items. If we sent the wrong item, or your order arrived damaged or faulty, contact us within [48 hours] of delivery with your order number and a clear photo or video of the item and its packaging. We will send a replacement or refund you, and we will pay for the return delivery.

Changed your mind. You may return unused items in their original packaging within [3 days] of delivery. The item must be in the same condition we sent it. You pay the return delivery. We refund the price of the item once we receive and check it.

Items we cannot take back. [Food and drinks, underwear, opened beauty products, custom-made items, items marked "final sale".]

How refunds are paid. Approved refunds go back to the payment method you used, or as store credit if you prefer, within [5] working days of us receiving the item.

How to start a return. Message us on WhatsApp at [number] or email [address] with your order number and a short reason.

Keep it short. A policy nobody reads protects nobody.

Where to put it

  • A page called "Returns and Refunds" that is linked from the footer of every page.
  • A short line near the "Buy" or "Pay" button: "Free replacement if your item arrives damaged. See our return policy."
  • On your order confirmation message or email.
  • Pinned in your WhatsApp Business profile or catalogue description.

Handling real cases

"It arrived broken." Ask for the photo or video. If it matches, send a replacement or refund at once. A quick, friendly answer usually turns an angry customer into a loyal one.

"It is not the same as the picture." Compare with the photo you posted. If your photo was misleading, accept the return and fix the photo. If it matches, politely explain, and offer an exchange if you can.

"The rider lost it." This is on you, not the customer, unless your policy says otherwise. Chase the courier. Read How to Reduce Failed Deliveries and Best Courier Services for E-commerce in Nigeria.

"I paid but changed my mind before you shipped." Cancel and refund in full if the item has not left. Tell the customer how long the refund takes.

A customer who always returns things. Keep a simple record. If you see a pattern, you can decline further orders from that person.

Think about the law, gently

Nigeria has a consumer protection law, the Federal Competition and Consumer Protection Act. In general, a policy on your website cannot take away rights that the law gives your customers. If you sell higher-value goods or have many customers, speak to a lawyer who knows consumer law, and check the Commission's guidance. This article is only a starting point.

Count the cost

Returns cost money: delivery both ways, items that cannot be resold, and your time. Include a small allowance for them in your prices. If you want to learn how, read Markup vs Margin.

Save abandoned carts with a clear policy

A visible return policy is one of the cheapest ways to make a new buyer feel safe. It sits next to other basics we list in How to Reduce Cart Abandonment in a Nigerian Online Store.
